My tutee was due to sit his Functional Skills exam and had been approved for a reader as a reasonable adjustment. I had been arranged as his reader, and there was written confirmation that this adjustment had been accepted.

When we arrived for the exam, we were informed that the reader had not been arranged with the exam board, meaning Wilbur could not sit the exam as planned.

The company subsequently rearranged the exam, but when the candidate's mother asked for reimbursement of the £70 paid to me for attending an appointment that was wasted solely because of their administrative error, they offered only £35. What was most disappointing was the tone of their response. Rather than accepting responsibility for the mistake, they described their own decision as fair and reasonable while declining to reimburse the actual financial loss caused by their error.

The response focused on justifying their position instead of acknowledging the impact their mistake had on the candidate and his family.

Mistakes can happen, but how an organisation responds is what defines good customer service. In this case, I felt there was little accountability and insufficient recognition of the inconvenience and costs their error created.

User's recommendation: If your child requires reasonable adjustments such as a reader, don’t rely solely on receiving confirmation that they have been approved. Contact the provider again shortly before the exam and ask them to confirm that the adjustment has actually been submitted to the exam board and is fully in place. If possible, obtain that confirmation in writing. Unfortunately, our experience showed that an approval alone did not guarantee the arrangements had actually been made.
